“With A Little Help…”, Inc. Board Meeting

Saturday, April 4th at 1:30 pm

Called to order at 1:42 pm

Present: Scott, Gregg, Erica, Sara, Donna, Kim, Josette, Tom, Jenny (Natasha, Jean, Julie)

Absent: Jim Coyne, Biff,

 

Agenda:

  • Minutes from February 28th – Tom moved to approve, Scott seconded, unanimously accepted. 

 

  • Financial Report – Balance as of 4/04/09 $49,310.10 see attached
    • Erica moved to accept, Tom seconded, unanimously accepted.

 

·        Communication – Kim reminded us that when we are communicating things that relate to emotions or opinions, we should make a call to the people involved so things are not misinterpreted.  We need to move together toward our common mission. 

 

·        New Board Member – Lisa Coffman resigned from her position on the board, opening a spot.  Jenny Chalupka was nominated by Kim and unanimously approved as a new board member. 

            

  • Fundraising
    • Reports on Past Fundraisers:
      • Boston Store Community Event Day BONUS of $293.00
      • Kringle Fundraiser – Sold 351 Kringle, Profit $834.85

      • Good Search/Good Shop
      • Candy Bars - the boxes from the first shipment are gone.  Kim is going to check on the prices from Lisa and will bring it to the next meeting.

 

    • Future Fundraising Opportunities           
      • Gift Bricks – Waiting for Biff to check on the prices of the bricks. 
      • Year Round Raffle – Josette is going to re-check on the rules about it.  Kim is sending Josette a copy of the Horizon Year-Round Raffle Tickets.
      • WALH Calendars – Kim needs old pictures from camp before the next meeting so she can start putting together the calendars. 
      • WALH Camp Sponsorship – camp costs $52/day/person                       
      • Stone Creek Coffee Sale – We can do this fundraiser any time we want.  The coffee is sold to us at $7/pound and we are able to sell it for $12/pound, making $5 per bag we sell.  Along with coffee, there is hot chocolate that can also be sold with the coffee.
      • Foundations – Gregg sent out letters last week Monday, and we’re waiting to hear back.  Josette suggested we look into the Birch Foundation. 
  • Bucks Free-throw Challenge on Wednesday April 8th – Erica received information on this and explained to that group that we can form a team of up to four players, shoot free-throws, and win prizes for WALH that can be auctioned off at another event. 
  • Summer Splash Committee Report
    • Date is Saturday, June 6th at Serb Hall
    • Next Spring Dance Committee Meeting: before the next board meeting. 
    • Need donations for the silent auction. 
    • Tickets are available, checks made out to “With a Little Help”
    • Gregg is meeting with someone from the bank about doing credit cards
    • Corey Whitmore is going to do the music for the event. 
    • Scott suggested we look into insurance for people who are under 21 being at the dance. 
  • Recruitment: Julie suggested that we do press releases and she has a list of contacts to release information to that might publish our press-releases.

      • Fliers to Post – Kim putting it together and e-mailing it. 

·        Campers:

o       MDA Support Group May 20th at 6pm at Froedtert

o       MDA postcard/mailing and Newsletter – We are waiting to hear back from Robin from MDA about doing this again this year. 

o       QUEST article – Biff is working on this.

o       MDA Booth at Walk with the Animals May 16th

o       MDA Camp Visit – Sunday, June 14th, Tom volunteered to go.

o       Morning Blend – Still no word from them…

o       Independence First – Scott wrote an article that was submitted. 

 

  • Summer Camp 2009 –WALH County Fair                                          All

°        August 2nd – August 7th (training and set-upon August 1st)

°        Program Ideas:

§         Eating contest

§         Square Dance

·        Sara and Erica will decorate

·        Josette will line up the DJ

·        Crowning of Dairy prince/princess at the dance. 

§         Tractor/Wheelchair Pull – Scott is in charge – Tuesday afternoon

§         Bake sale/cooking contest (With Tastefully Simple)

§         Arts/Craft exhibition – Bonnie is working on this. 

§         Animals – petting zoo: can contact Thunder Valley since they have a petting zoo – must have insurance and records of the animals – Josette will contact them.  If they can come, we would like them to come Tuesday afternoon.

§         Special Shows (comedy, jugglers, etc…) – Kim is contacting Comedy Sportz to see if they would be willing to come. 

§         Carnival day:

·        Basketball

·        Bean bag toss

·        Watermelon spitting contest

·        Animals

§         Native American Tribe – Biff

§         Wheelchair power-soccer – 3:00-5:00 on Wednesday

§         Memorial Service – Wednesday 7:00

§         500 Tournament – Thursday afternoon 

§         Grand Ole Oprey lip-sync contest – Gregg Tuesday at 7:00 pm  

§         Camp photo and meeting – 1:00 pm Thursday, camp photo, meeting to follow

°        Theme day ideas:

§         Country/ Western singer day – lip-sync (Grand Ole Oprey)

§         Dress like a farmer – on the square dance day

§         Dress like your favorite animal

§         Scare-crow

§         Dairy Prince/Princess dress up day

·        Kim getting prizes for theme day. 

°        T-shirt sponsors – Sara is still looking into this more, still in contact with the t-shirt guy.  If we do this, we would like to automatically add Fondy, Corvette Club, and maybe the DJ company.  

o       Camp applications are going out on May 1st and are due July 1st

o       We are looking into adding a PayPal account to our website so people can make donations through the webpage

o       Scott and Linda are going to contact the Corvette Club and paintball people to see if they will be coming to camp this year.   

o       Nurses – Crystal Hince would be happy to come.  

°        Camp Photographer – Erica found a professional for group picture.  Want to see if we can get some extra pictures, with people being taken care of. 

°        Online Application –Moved to spend $100 to be able to have online application.   

 

  • Newsletter – First online newsletter went out.  Next one goes out first week of June. 

 

  • Calling-tree – From now on, we will call the president if we have information we think the whole group should know and it will be communicated to everyone else from there. 

 

  • Future Meetings:  May 9th 1:30 pm at Franklin Library.  June 28 1:00 pm at Kim’s house for a cookout.  

 Sara moved to end the meeting, Erica seconded it, all approved.  Adjourned 3:50 PM.
